PRIMARY PURPOSE:

 Under general supervision of VP/GM completes operational business and construction licensing/permitting. In addition, completes construction special projects including, but not limited to: (i) imaging, program rollouts, and maintenance capital programs. Furthermore, provides assistance in construction related matters as business needs indicate, including managing the insurance and contracting matters for all construction contractors

ESSENTIAL DUTIES/FUNCTIONS:

 

       Responsible for licensing and permitting for retail operations and other construction projects. Reviews construction and permit plans and monitors permit process.

       Administer construction vendor agreements.

       Perform financial analysis of projects on an ongoing basis. Monitor projects to ensure that budgetary guidelines are followed; any exceptions approved and explained.

       Tracks all construction changes and reports same on a monthly basis. Maintain databases as indicated.

       Ensure project deadlines are met.

       Develop project strategies to effectively monitor each situation.

       Ensure projects adhere to framework and all documentation is maintained appropriately for each project.

       Ensure that insurance requirements with regard to construction vendors are both met and maintained on an ongoing basis.

        Coordinate and monitor the bidding process and solicitation of competitive bids for planned projects.

       Evaluate project bids and bidders necessary to engage viable contractors capable of providing the appropriate quality of work and value required by Aloha to meet project objectives.

       Coordinate with architects and ensure that all necessary documentation is executed and maintained to protect the interests of the company, including, but not limited to construction contracts, payment and performance bonds, lien releases, and documentation of insurance.

        Identify and track any required project change orders.

 

       Receive, examine and ensure proper approval of all contractor payment applications, to ensure validity of sums requested.

       Maintain records necessary for continuous reconciliation of project costs to budget and provide timely notice to senior management of any material cost overruns.

       Maintain construction status reports; prepare related reports and records as indicated

       Perform related duties as directed.

 

 

DAILY DUTIES:

 

       Schedule work, appointments, and site visits as projects require.

       Maintain written and photographic records of site visits and other project developments for permanent record.

       Maintain construction records for each project as prescribed by company procedure in permanent archives.

 

 

PERIODIC DUTIES:

 

       Attend meetings and events as required.

       Prepare monthly and periodic reports for senior management.

 

OCCASIONAL DUTIES:

 

       Assist other internal departments in providing cost estimates and other pertinent information for various projects as requested by senior management.

       Assist the department in assessing new and/or alternative products and materials for use in construction and maintenance of company assets.

 

 

WORKING CONDITIONS:

 

       Regular office conditions

       As specific project or geographic area demands

 

 

EQUIPMENT USE:

 

        Frequent use of personal and laptop computers, laser printers, copy machine, fax machine, scanner, multi-line phone system, paper shredder, and other standard office equipment.

       Frequent use of digital camera

 

WORK HOURS:

 

 

          Normal business hours and available to handle situations outside of normal business hours as indicated.

 

 

MENTAL DEMANDS:

 

          Must be able to work effectively both independently and as part of a team.

          Must be able to function effectively under pressure and time constraints.

          Demonstrates independent judgment and good organizational skills.

 

PHYSICAL DEMANDS:

 

          Frequent: standing, walking, reaching, handling; use of corrected vision, depth perception, wide field of vision, use of hand eye coordination, color vision

          Occasional: climbing, balancing, stooping, kneeling, crouching, crawling

          Possesses effective verbal and written communication skills. Interacts positively with all levels of employees, customers, vendors and other third parties, and at all times demonstrates a professional and courteous demeanor that represents the company's image with the highest standards of customer service and job performance.

          Able to make use of email, telephone, two way radio, fax machine, verbal conversation, and handwritten documentation to effectively receive and transmit information in the execution of required job functions.

 

 

QUALIFICATION REQUIREMENTS:

 

          Previous contract management experience in relation to construction projects

          Knowledge of local construction industry and contractors

          Must be flexible.

          Must possess valid Hawaii motor vehicle operator's license.

 

SKILLS/KNOWLEDGE:

 

          Knowledge file management, transcription, and other administrative procedures

          Calculating functions of rectangles, triangles, circles, volumes, weights, lengths, percents, fractions, and decimals

          Building mode standards, terminology and construction methods

          Technical knowledge of trades working under supervision

          Occupational health and safety standards

          Inspection methods, procedures and record keeping

 

 

          Reading and interpreting constrnction plans and specifications, permit requirements, special provisions, memorandums, and test reports

          Identifying nonconforming materials, workmanship, or deviations from plans

          Proficiency with Microsoft Office applications

          Establishing and maintaining effective working relationships with others

          Maintaining files, preparing and submitting reports in a timely and accurate manner

          Planning and organizing work activities, setting priorities

          Identifying alternative courses of action

          Anticipating and resolving problems using sound judgment

          Communicating effectively, orally and in writing

 

EDUCATION/TRAINING:

  •           Attendance at workshops, seminars and conventions related to construction, fuel system, and convenience store industries as needed
  •        Bachelor's degree preferred. 

 

EXPERIENCE:

 

          Previous building and construction management desired

          Experience working with convenience stores preferred
